Your Opportunity


We have an opening for an Project Coordinator on our Programs & Business Solutions team!


Your Key Responsibilities


Manage and implement the document control processes and procedures established for project functions including document tracking, deliverables scheduling and management, minutes, RFIs, submittals, change management logs and other communication tools.

Track the status of and coordinate responses to RFIs and submittals

Work closely with the project team to maintain a current and accurate understanding of project status, issues and changes.

Work closely with the project team to identify project risks and mitigations options to project risks.

Work closely with the project team to establish project schedules and update project schedules on a regular basis.

Facilitate the change management process.

Provide support to project management and team members to adhere to client standards, Stantec required procedures, and document management.

Undertake financial reporting to Project and Commercial Managers.

Develop cost control matrices to forecast financial status of projects.

Develop revenue and earned value analysis.

With guidance, assist with the coordination and preparation of high quality, accurate and timely documents such as: specification and design packages, reports, RFIs, minutes, submittals tracking, and other required documentation.

Manage and implement the quality control processes and procedures established for project deliverables.

With direction, prepare required project set up documentation.

Follow record retention policies.

Record, compose, and distribute meeting minutes.

Provide general project team support / office support functions such as staffing, proposal writing support and project resource loading as required for the project team.


Your Capabilities and Credentials


  • Knowledge of documentation / revision control is preferred.
  • Work in documentation control / project assistant role is a plus.
  • Demonstrated ability to handle multiple priorities and assignments.
  • Excellent written and verbal communications.
  • Project scheduling experience is an asset.
  • Good analytical skills. Must be detail-oriented, and resourceful.
  • Must have good interpersonal skills with the ability to work both collaboratively and independently.
  • Experience with MS Office including Word, PowerPoint, Excel, and Project.


Education and Experience


3-5 years of engineering related project experience; or an equivalent combination of education and experience.


Engineering degree and related work/field experience; or equivalent combination of education and experience.


Prior experience working in Architecture, Engineering, or Construction field is preferred.


Experience in financial reporting is an asset.


Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
